Answers to Common Questions about EIEBS

Q. I have a small agency of less than 5 providers, do I still get a discount?

A. Yes. We have revised the agency pricing and the price list is on the pricing page.

Q. What is the fee for Independent Providers?

A. The Independent Provider Fee is $60 per month ($45 for direct debit payments and less if paying quarterly) for unlimited usage for one CRO ID number.  However, submitting electronic claims is not the only feature of the software.  The EIEBS system imports electronic authorizations and payment advice files.   This further reduces your paperwork and improves the accuracy of your billing process.  A quick look at the paper versus electronic billing chart on this site will demonstrate how truly inexpensive this service is.

Q. Is this a home grown system?

A. The system was designed by a commercial software company in very close partnership with a First Steps Agency.  We have attempted to provide the functionality and stability you would expect with a commercial product along with the ease of use and very specific functionality you would expect if you designed it your self.  In addition, the system was designed with both the single provider and agency in mind.  Whether one or one hundred providers, both can use the system with excellent results.

Q. When can I start using the system?

A. The enrollment process takes very little time and The Myka Lynn staff performs all the testing.  You should expect to begin billing within 10 working days after you submit your enrollment package. To get started simply complete the Web Based Enrollment Form.

Q. When do you get your checks from the CRO?

A. The printing and mailing of the checks is a Finance Office function and varies state to state and is beyond the control of the Myka Lynn software.  Each state has cutoff dates and time and we will provide those to you.  Myka Lynn will work with you to get you on a billing cycle that optimizes your cash flow.

Q. Do we have to sign a HIPAA vendor agreement with the CRO or your company?

A. The enrollment package will include a checklist and a copy of all key documents.  This includes a Business Associate Agreement with The Myka Lynn Corporation.  The enrollment package also has copies of the documents you must provide to the CRO. 

Q. What does the term payment advice mean?

A. Payment advice is the term used to describe the electronic or paper backup for the check you receive from the CRO.  It tells you what you were paid for on the check.  The EIEBS system uses the electronic copy of the payment advice to automatically update your billing reconciliation.  This further reduces your paperwork and helps you track what you are owed.

Q. I read that there is a testing process, what do I have to do?

A. You are correct for new entities.  However, TMLC has worked with each state and finance office to pre-qualify the Myka Lynn software for submitting electronic claims.  TMLC will notify the state of your intention to use the system and you will complete a form that confirms your desire to participate in the electronic batch claims process.  TMLC has attempted to eliminate all the hurdles to getting started with billing electronically.

Q. Is the fee a monthly fee or each time I submit a bill?

A. No.  The fee is minimal, fixed and is monthly.

Q. Will I be the only person that will be able to access the billing?

The EIEBS Agency Package comes with an unlimited number of user accounts that you can define. 

Q. Are we allowed to bill more than one time per month?

A. Yes. You can bill as often as you like.  However, you will want to coordinate your billing cycle with the payment cycle of the CRO.

Q. Can we add or subtract providers? 

A. Yes.  Agency customers maintain their own provider database in the system.  This database includes handy additional information such as phone lists and notes.  The agency is responsible to adjust their monthly payment to reflect an accurate provider account.  Single user systems do not allow multiple providers beyond the multiple provider ID's issued to one provider by the CRO.

Q. Do we pay the bill on a monthly basis?

A. Yes.  Payment is expected at the beginning of the Month for the coming billing cycle.

Q. Do I pay for the service when I am on vacation or take a month off.

A. In general yes.  However, if you are not going to bill at all for a period of a month or more, contact us and we will waive the monthly fee for that month. 

Q. Do I have to bill everything electronically or can I keep my part time providers on paper billing?

A. This is state by state.  We will work with you to determine the best practice for your location.

Q. What if I don't like the service or I have to stop billing for any reason, do I owe for the entire year?

A. Your agreement guarantees your rate for one year but it is not a term agreement.  You can cancel your subscription at any time with no penalty and no fees.  We think you will love the service and will stay for years so there is no reason to require a deposit or a cancellation fee.

Q. Can I run a report of my billing activity for the entire year?

A. Yes.  In fact you can run a report for any time period you wish in a number of formats.  This is very handy for independents to track, monitor and control their revenue stream.  Agencies benefit as well and there are many agency specific reports including summaries by provider, by specialty, by CPT code and EI code.  The real strength of EIEBS electronic billing is the management of your information beyond just the claim process.
